Intelligence (AI) tools by employees. It ensures productivity gains
while protecting company data, customer information, and
organizational integrity.
2. Scope
This policy applies to all employees, contractors, and temporary
workers who use AI tools whether company-provided or personally
sourced for any work-related activity
3. Approved Use of AI
Employees may use AI tools for:
- Research, brainstorming, and idea generation
- Drafting emails, documents, and reports
- Data summarization and analysis
- Coding assistance or troubleshooting
- Process automation where approved
- Customer communication templates (not final messages
AI may be used only when it does not violate confidentiality,
compliance, or contractual obligations.
4. Prohibited Use of AI
Employees may not use AI tools for:
- Entering confidential, proprietary, or personally identifiable
information (PII) - Uploading customer data, internal documents, or financial
records - Making autonomous decisions that impact customers, finances,
or legal obligations - Generating discriminatory, offensive, or misleading content
Representing AI-generated output as final or approved without
review - Circumventing security controls or compliance requirements
5. Data Privacy and Security
Employees must:
- Remove or anonymize sensitive information before using AI
- Treat all AI tools as public environments unless explicitly
approved as secure - Follow all cybersecurity, confidentiality, and compliance policies
- Report any suspected data exposure immediately
6. Human Oversight
All AI-generated content must be:
- Reviewed by the employee
- Edited for accuracy, tone, and compliance
- Approved by a supervisor when required
AI is a support tool, not a decision-maker.
7. Intellectual Property
Employees must ensure:
- Proper attribution is used when required
- AI-generated content does not infringe on copyrights or
trademarks - AI output is treated as company-owned work product
8. Vendor and Tool Approval
Only AI tools approved by IT or Security may be used for:
- Customer-facing work
- Internal documentation
- Data processing
- Workflow automation
Unauthorized AI tools are prohibited for business use.
9. Accountability
Employees are responsible for:
- The accuracy and appropriateness of AI-assisted work
- Following all security and compliance requirements
- Reporting misuse or policy violations
Violations may result in disciplinary action.
10. Policy Review
This policy will be reviewed annually or as AI technology and
regulations evolve.
